INSERVICE TRAINING ON PERFORMANCE APPRAISAL AND OTHER MATTERS Date: 28th April, 2023

The Municipal Coordinating Director, Mr. Francis Asokwa Sarpong introduced the meeting with the agenda ‘Performance Appraisal’. He stated that the performance appraisal is not for only promotion and preparation should be done ahead of time before approaching promotion in order not to rush in doing a shoddy work but helps achieve a thorough work. He explained that performance appraisals should be done with the head of department/unit yearly; the first six month of every year you meet and recheck if roles have been executed as stated. He said that Key Performance Areas should be focused on the job summary by Local Government.

ENVIRONMENT HEALTH/SANITATION The Municipal Coordinating Director spoke on sanitation that cleaners should be up to their work. He mentioned that it is as the result of lack of thorough cleaning that lead to the deduction by the performance contract monitoring. He therefore tasked the management to put in their utmost effort to ensure that things are done right. He said that measures are being put in place to safeguard the assembly from intruders with the intention to cause harm (by fencing).

He entreated members to regularized welfare by creating a welfare account for saving money taken for welfare activities to ensure efficient use of welfare resources. A constitution Drafting Committee was setup to create a constitution to guide the activities of welfare in the Municipal Assembly. A committee member assured that the constitution is being completed and ready to be submitted in a booklet form. The welfare constitution softcopy was then taken through by a committee member with the audience and amendment were made where necessary.

He stated that measures are being put in place in securing new chairs to stock or furnish those offices who couldn’t get their share of the distribution. Also, he mentioned that the purchase of Computer Laptops are underway, delay in purchase is as a result of high cost of items hence measures are being put in securing them. He said the Laptops will be given to particular offices where of high demand and necessary use; offices for instance Works, budget, Finance and others. He pleaded staff to manage the limited resources at hand to prevent wastefulness.

Bungalows Refurbishment He entreated inhabitants should take responsibility to ensure preventive maintenance like painting, removal of cap webs etc. he mentioned that rehabilitation is ongoing; few bungalows are being selected are working on and when completed another badge will also be attended to.

Decongestion Exercise He asked all staff to join hands in the decongestion exercise to make it completely successful. He stated that some group of people are in the hide trying to jeopardize the work of the exercise hence warned that if such people should desist from that act otherwise the necessary sanctions will be meted out to the culprit if found.

Client Service He announced that the client service unit has started operation so all grievances should be passed through the office before being directed to the necessary office/management for attendance.

Contribution and other Matters Michael from Accounts suggested that managing and stock of stationary should be processed with due time to facilitate work. A concern was raised relating to the Revenue office in the Market that it is in a deplorable state and requires rehabilitation or good shape. MCD mentioned that he is looking forward in securing DPAT funds to construct a story building bungalow. There is the notice that some staff mistakenly leave their offices light, fan, door on and open before closing from work to home.
